WingateWeb Partner Program Roles and Responsibilities

The event project team includes many people who each fill an important role in achieving a successful event. This section explains the roles required for a typical event team, and the responsibilities of each role. The Statement of Work (SOW) will specify which roles are required for an event, and identify who is contracted to fill each role. The same individual may fill more than one role.

The following roles are typically filled by the Event Owner. Where indicated, a role may be filled by a WingateWeb employee or a WingateWeb Certified Partner (as specified in the SOW):

Role Responsibilities
Event Project Owners
(See below for list of roles.)

NOTE: For Event Console or a small Conference project, one person may fill all of the following roles (or some roles may not be required).
  • Identifies the event's project requirements.
  • Communicates the project and software requirements to WingateWeb or WingateWeb partner.
(See below for details on each area of focus.)
Event Owner
  • Serves as Event Owner's main point of contact for the event(s).
  • Manages all areas of the event for the Event Company.
  • Directs and coordinates the efforts of the Owners (as listed below) and other event-related employees, contractors or partners.
Registration Owner
  • Identifies project requirements for Attendee Registration.
  • Assists the Registration Area Manager in coordinating onsite registration operations.
Content Owner
  • Identifies project requirements for Content (SRC, sessions, scheduling, etc.).
  • For Conference, assists the SAC Area Manager and Cyber Cafe Manager in coordinating onsite session-related and content-related activities.
Exhibitor / Sponsor Owner
  • Identifies project requirements for Exhibitors or Sponsors (purchase items, exhibitor tasks, booths, etc.).
  • Assists the Exhibitor Hall Manager and Lead Retrieval Manger in coordinating onsite exhibitor-related activities.
IT / IS Support or Contact
  • Gives input on how your Information Technology (IT) or Information Services (IS) department may assist with the project.
  • As necessary, helps define technical requirements for how WingateWeb software should integrate with other systems (such as single sign-on, internal systems, or third-party products).
  • May participate in the Kick-Off Meeting.
Onsite Area Services Managers
(See below for list of roles.)

NOTE: For Event Console or a small Conference project, one person may fill all of the following roles (or some roles may not be required). That same person may also fill the Event Project Owner roles.
  • Coordinates staffing and logistics for onsite activities at the event.
  • May handle coordination of on-site services.

Registration Area Manager
May be filled by WingateWeb or Partner (Registration Level I Certification)
  • Designs the logistical flow of the Registration and Checkin areas onsite.
  • Manages the production of attendee badges.
  • Identifies equipment needs (badge printers, checkin workstations, registration workstations).
  • Manages the configuration of the onsite checkin workstations.
  • Identifies what registration staff is required onsite; hires and trains temporary staff.
SAC Area Manager
(Conference Only)
May be filled by WingateWeb or Partner. (Content Level I Certification)
  • Works with Content Owner to identify the level of access for each session.
  • Identifies equipment needs (number of SAC workstations and scanners).
  • Identifies what SAC staff is required onsite; hires and trains temporary staff.
Cyber Café Manager
(Conference Only)
May be filled by WingateWeb or partner. No certification required.
  • Works with Content Owner to identify the number of Cyber Caf? stations at the event.
  • Identifies equipment needs (Cyber Caf? workstations, network needs).
Exhibit Hall Manager
May be filled by WingateWeb or partner.
(Exhibitor Level I Certification)
  • Manages onsite exhibitor registration.
  • Identifies what booth support staff is required onsite.
Lead Retrieval Manager
May be a filled by WingateWeb or partner.
(Exhibitor Level I Certification)
  • Manages the lead retrieval rental process.
  • Identifies equipment required for lead retrieval.
  • Coordinates any required equipment configuration.
  • Identifies what lead retrieval support staff is required onsite.
Attendee Registration Support
May be a filled by WingateWeb or partner.
(Registration Level I Cetification)
  • Provides phone and email support for your attendees.
  • Uses the Registration module of Conference to update attendee records, keep track of payments, etc.

NOTE: WingateWeb Registration I (Call Center Attendant) provides certified training for this role.
Accounting Services
May be filled by WingateWeb or partner.
(No certification required)
  • Invoices and collects exhibitor and attendee registration funds (credit cards, checks, and wire transfers).
  • Reconciles these funds with bank statements.

The following roles are most likely filled by WingateWeb employees or WingateWeb Certified partners. Where indicated, a role may be filled by the Event Owner.

Role Responsibilities
Sales
  • Introduces your company to the core features of the Conference or Event Console software.
  • With your Account Manager and a Business Analyst, helps you identify your major project requirements, your Professional Services budget, and an estimated project timeline.
  • Creates the Statement of Work (SOW).
Account Manager
  • Serves as a sounding board for questions or concerns you may have regarding your project or WingateWeb staff.
  • Contributes event management best-practices insight and a client-focused perspective to the WingateWeb project team.
  • Helps to manage and approve changes to the original Statement of Work, if required.
  • Facilitates post-event review meetings.
  • Collects your company's feedback for future product enhancements or additional Statements of Work.
  • Provides continuity from point-of sale throughout the entire project management life cycle.
Program Manager
NOTE: For Event Console or a small Conference project, one person may fill both the Program Manager and Business Analysts roles.
  • Serves as your main WingateWeb contact on a day-to-day basis.
  • Keeps track of your project timeline and budget.
  • Conducts weekly status meetings.
  • Sends status reports to the client weekly.
  • Directs and coordinates the efforts of all WingateWeb employees or partners who work on your event.
Event Services Managers
(See below for list of roles.)
NOTE: For Event Console or a small Conference project, one person may fill all of the following roles (or some roles may not be required).
  • Manages the project for a specific module.
  • Configures the software for that module.
  • Roles can be filled by Event Owner, Certified Partner or WingateWeb employee.
(See below for details on each area.)
Registration Manager
  • Helps the Registration Owner define requirements for attendee registration.
  • Configures the Attendee Registration software.
  • Consults with Business Analyst when needed to request highly technical configurations or custom Conference software development.
  • Partners with the Registration Owner to manage the Attendee Registration process from start to finish.
  • Supports the attendee registration process from planning through go-live.
  • Tracks the timeline and budget for the Registration project, and reports these to the Program Manager.
  • Oversees WingateWeb project team where relevant for registration-related activities.
  • Helps Registration Owner manage onsite registration operations, staff, training, etc. (Conference Only)

IMPORTANT: For Conference, this role requires WingateWeb Registration II certification. For Event Console, Event Console Certification I is encouraged.
Content Manager
  • Helps the Content Owner define requirements for content (including sessions, speakers, and scheduling).
  • For Conference, configures Session Records, Session Scheduler, and Speaker Resource Center software. For Event Console, sets up your Agenda, Presentation Content, and Session Schedule.
  • Consults with Business Analyst when needed to request highly technical configurations or custom Conference software development.
  • Partners with your team to support your speakers and other event participants to make sure they are prepared for your event.
  • Tracks the timeline and budget for the Content project, and reports these to the Program Manager.
  • Oversees WingateWeb project team where relevant for content-related activities.
  • Helps Content Owner manage onsite content and speaker-related activities including registration, speaker readiness, abstract availability, speaker or content changes, etc. (Conference Only)

IMPORTANT: For Conference, this role requires WingateWeb Content II certification. For Event Console, Event Console Certification I is encouraged.
Exhibitor / Partner Manager
May be a filled by your company.
  • Helps the Exhibitor / Partner Owner define requirements for exhibit booths, purchase items, and pricing. For Conference, also helps define requirements for exhibitor tasks and the Exhibitor Resource Center.
  • Configures the Exhibitor or Partner software.
  • Consults with Business Analyst when needed to request highly technical configurations or custom Conference software development.
  • Partners with the Exhibitor / Partner Owner to manage your exhibitors and partners from the point-of-sale to onsite.
  • Oversees WingateWeb project team where relevant for exhibitor- or partner-related activities.
  • Tracks the timeline and budget for the Exhibitor or Partner project, and reports these to the Program Manager.
  • Helps Exhibitor / Partner Owner manage onsite exhibitor-related activities.

IMPORTANT: For Conference, this role requires WingateWeb Exhibitor II certification. For Event Console, Event Console Partner Tools Manager certification is encouraged.
Business Analyst
NOTE: For Event Console or a small Conference project, one person may fill both the Business Analyst and Program Manager roles.
  • Serves as the primary contact for questions regarding software configuration.
  • Helps analyze your business requirements and map them to features available in the software.
  • Helps configure base software, if highly technical configuration is required.
  • Defines and manages implementation of customizations. (Conference Only)
  • Tests and may help implement final configuration of custom software features. (Conference Only)

IMPORTANT: This role requires WingateWeb Registration II, Content II and Exhibitor II certification, plus WingateWeb System Administrator Certification
Software Developer
  • Creates custom software features according to your requirements. (Conference Only)
  • Receives feature definition and direction from the Business Analyst.
  • Exclusively WingateWeb role.
Web Developer
  • Changes the branding on event web sites to match your event or corporate branding.
  • Makes custom web site changes according to your requirements.
Software Tester
  • Tests your set up of the system configuration.
  • Tests your custom features to verify that they work according to your requirements. (Conference Only)
  • Normally performed by a WingateWeb employee.
