The easiest way to create an event is to copy an existing event (or event template). That way, you can keep the relevant properties of the original event, and just change those features that are unique for the new event. (For a list of features that are copied, see About copying an event.)
After the event is copied, you need to manually update some of the settings that were copied (such as the event dates and venue). You must also set up features that are not copied.
To add an event by copying an existing one
1. On the Event List tab, complete an event search.
(For instructions, see Search for an existing event.)
2. In the list of search results, right-click on the event you want to copy.
3. Choose the Copy Event option.
4. In the New Event Name field, enter a unique name for your new event.
5. In the Event Code field, enter a unique code for this event. The code must contain only letters and numbers without spaces.
This code identifies this event in the Event Console system and in reports. If you leave this field blank, the system automatically enters a code.
6. In the Copy Items list, mark the box next to each item that you want to copy from the existing event to your new event.
Note: If you want to copy all items, click Select All.
7. Save your changes.
The Event Copy Complete dialog lists the items that you copied to the new event.
8. Click Close.
The Modify Event tab displays the General Information page for the new event.
9. View or edit this information, as appropriate:
Description. If desired, revise the description. The description cannot be more than 255 characters, including spaces.
• Start Date. Choose the date and time that the event will start.
• End Date. Choose the date and time that the event will end.
Note: By default, the Start and End time settings are copied from the original event. If you change the time settings, be aware that the time shown applies to the time zone where you are setting up the event (or the time zone set on your computer). If the event will take place in a different time zone, adjust the time that you enter accordingly.
• Venue. If you want to change the venue, click on the venue name. In the Select Venue dialog, start entering the location name in the filter field, and then choose the location where this event will take place.
To remove the venue completely, choose Remove Venue Selection.
• Status. Choose the status for this event.
The Status lets you track your planning for this event. The Status must be approved or active for the event to be published to the Attendee application.
• Marketing Information. If desired, edit or enter marketing or other general information about this event. This information displays on the Event Details page in the attendee application.
10. Save your changes.
11. Continue with event tasks as necessary.
Notes
• The event code is the registration code for this event. You may do one of the following:
– Distribute this code to potential attendees and have them enter it on the login page during registration.
– Include the event code in the URL for your registration web site.
• Once an attendee is associated with this event, the code cannot be changed
